New application portal – changes in dates and procedures

On 18 September 2026, The QATO Foundation will implement a new application system with the aim of creating a more user-friendly system for our applicants while also streamlining internal case processing.

During the transition period from mid-August until the new system goes live on 17 September, there will be changes to the dates and procedures for submitting applications, payment requests and reports. Applicants and grant recipients should therefore be aware of the following.

During the transition period, until the new application portal goes live, the following changes will apply:

Application deadlines and transition

  • For those who wish to apply
    Applications may be submitted in the current system until 10 August. After this date, applications must be submitted via the new application system from 18 September.

  • For those who wish to request payment of a grant or an instalment
    Payment requests may be submitted in the current system until 17 September. However, we recommend submitting them as early as possible in September. From 18 September to 1 November, it will not be possible to request payment for an existing grant.

  • For those who need to submit a report
    Reports and status reports may be submitted in the old system until 17 September. After this date, reports can only be submitted in the new system from 1 November. If the deadline for reporting falls between 17 September and 1 November, the material should simply be submitted once the new system opens for reporting on 1 November.

After the new application portal has gone live

New applications may be submitted via the new application portal from 18 September.
If you already have a profile in the old system (OnlineLegat), you will also need to create a user profile in our new system (GrantOne). Please use the same email address as you used in the previous system.

For active grant recipients
From 17 September to 1 November, existing grant recipients will not have access to their grant(s), either in the old or the new application portal. The Foundation’s secretariat can be contacted during this period if you have any questions about existing grants.

At the end of October, everyone with an active grant from The QATO Foundation will receive an email informing them that their grant can now be found in the new foundation system and that they need to create a profile. All information relating to an existing grant will automatically be linked to the new profile created by an organisation with an active grant from the Foundation.

The email will include detailed information on how to create the profile and where to go for help. After this, all communication, including payment requests, reports and similar, will take place in the new system.
